Membership Office Assistant

Scope of Duties:
The membership office assistant supports the work of Mackinac Associates, the nonprofit friends group that supports programs at Mackinac State Historic Parks. Mackinac State Historic Parks’ staff members are committed to providing friendly and courteous service to the public. The office assistant will assist the Membership Coordinator in serving members and donors by maintaining an accurate data base of membership and donor information, providing acknowledgement of membership dues and other donations through benefit packets and thank you letters, responding to member inquiries, and assisting to increase and retain members and donors.

Work Location and Schedule:
The workstation for this position is located in the Mackinaw City administrative office of Mackinac State Historic Parks. Hours worked are 10-20 hours a week early and late season and 35-40 hours a week late May through mid-September. Primary hours for this position are generally Monday-Friday 8:30 a.m. to 5:00 p.m. There is some flexibility for hours pre-Memorial Day and post-Labor Day. Availability for occasional evening or weekend events is preferred, and may be on Mackinac Island or other Mackinac State Historic Parks locations.

Responsibilities (Essential functions of the position):
1. Accurate data entry of membership information
2. Processing membership packets and billing reminders
3. Providing information on membership status to members and staff
4. Communicating with members in person, by phone or email
5. Taking RSVP’s for events
6. Assisting with mass mailings
7. Assisting with event planning/implementation
8. Assisting with on-site sales of memberships
9. Assisting with administrative operations, such as answering phones

Position Requirements:
1. Must be a high school graduate or equivalent
2. Familiar with computers
3. Familiar with Microsoft Word
4. Ability to work without supervision
5. Ability to communicate effectively both verbally and in writing
6. Ability to perform simple bookkeeping procedures
7. Ability to maintain professional confidentiality

Physical Requirements:
The employee must have the ability to do the following activities, with or without reasonable accommodation: sitting and/or standing for long periods of time, reaching and grasping, the ability to utilize ferry boat transportation to and from Mackinac Island, and the ability to walk long distances and up steep inclines.

Supervision:
This position will report to the Membership and Development Coordinator. Mackinac Associates is governed by a Board of Trustees.

General Position Information:
This is a temporary seasonal at-will position which serves at the will of the employer and does not include recall rights or benefits (other than those mandated by governmental laws). This position will expire at the time employment is ended for the season and the employee does not have recall rights to this or any other MSHP position in the future. Specifically, the park is under no obligation to hire the individual in subsequent seasons. The number of weeks and hours worked may vary as park needs dictate. Additional information will be provided upon employment.
